The Organisation:

TOPRA is the professional membership organisation for individuals engaged in regulatory affairs for human or veterinary medicines and medical devices across Europe. We are looking for a dynamic Membership Officer to support our membership growth plans and join our friendly group of staff based near Canary Wharf.

The role:
The purpose of this role is to coordinate all day to day activities of the membership department, working closely with other functions including communications, professional development, digital and finance departments.

Key responsibilities:

  • Provide full administrative support for the membership function of TOPRA (including internal member related queries)
  • Handle membership enquiries on a daily basis (including online account queries)
  • Coordinate membership communications (e.g. welcome pack fulfilment, distribution list extractions, and other regular member data handling tasks)
  • Coordinate the renewal process with direction from Head of Membership
  • Provide weekly/monthly member statistics reports and analysis for management and board as required
  • Coordinate the lapsed member process with direction from Head of Membership (including some outbound calls)
  • Coordinate the activities of the member communities
  • Support the Head of Membership with the creation and implementation of Membership Recruitment and Retention campaigns
  • Be responsible for regularly updating records on our CRM database and extract reports as required
  • Liaise with finance to ensure accurate payment records for members

Key Competencies/Person Specification

The person should be an enthusiastic and experienced coordinator (with at least two years in a membership support function or equivalent) who has great interpersonal skills, the ability to multitask, manage conflicting deadlines and who has excellent attention to detail to ensure the smooth running of the membership function on a daily basis.

This role requires the holder also to have the ability to work on their own initiative and adapt to team needs. We also expect the role holder to be aware of GDPR and will be expected to adhere to all data regulations with training and support from TOPRA as required.

Skills and experience

  •  At least two years’ experience in a membership support function or customer service role
  • Excellent verbal and written communication skills (essential)
  • Database experience including extracting data reports (IMIS an advantage), or a similar membership specific database (essential)
  • Working knowledge of Microsoft office, especially Word and Excel (essential)
  • Great interpersonal skills (comfortable speaking to professionals in life sciences at all levels)
  • Previous experience of coordinating online and face to face meetings with knowledge of Teleconference/webinar software administration(desirable)
  • Previous experience of working in a membership organisation or trade/professional body (desirable)
