About Cobseo
Cobseo, the Confederation of Service Charities, provides a single point of contact between our Members and government, including local and devolved governments, the Royal Household, the private sector and the Armed Forces Community. Guided by our values and objectives, we represent and advocate for Members, encourage collaboration across the sector, influence policy and present an informed, measured view of Members’ perspectives.

We help Members build networks and share good practice. Benefits include information, guidance, training and support on governance, fundraising and safeguarding; access to Cobseo Clusters; representation on key government groups and committees through the Cobseo Chair and Executive Committee; promotion of news, events and vacancies; the Weekly News newsletter; and opportunities to contribute to government policy.

About the Role
Working closely with the Cobseo office team, you will support our business plan by identifying digital requirements, assessing options and helping to commission systems that improve integration and efficiency. You will help us collect and analyse data on our performance, Members’ needs and feedback. The systems will make it easier for Members to engage with Cobseo and one another.

This is a new role, with an initial focus on designing and implementing a plan for integrated digital systems. As these systems become established, the emphasis of the role may shift towards ongoing development, supporting effective use, improving data and reporting, and delivering wider membership priorities. A proactive and adaptable approach will be important as the role develops alongside Cobseo’s needs.

The Membership Systems Manager reports to the Head of Membership. The Membership Systems Manager currently has no line-management responsibilities. This may change as the size and structure of the Cobseo office team develop.

Key duties and responsibilities
The percentages below indicate the initial balance of responsibilities and may evolve as systems are implemented and organisational priorities develop.

Digital systems lead (75%)

·         Define requirements and lead the scope, design and implementation of a digital change programme, including the transition from current to future systems and supplier coordination.

·         Strengthen integration across systems and our office functions (eg Membership, Communications, Finance), to enable increasing impact and efficiency.

·         Ensure the digital change programme and resulting systems comply with data-protection requirements.

·         Improve membership data collection to strengthen impact measurement, analysis, and reporting to inform strategic and operational decisions, utilising AI where appropriate.

·         Manage updates to stakeholder records to keep them accurate, high quality and compliant with data-protection requirements.

·         Support the maintenance and development of Cobseo’s systems, processes and ways of working, and train colleagues and Members to use systems effectively.

·         Support the design, publication and analysis of customer feedback, including online surveys and focus groups, to inform Membership and Engagement objectives and impact reporting.

Other membership services support (20%)

·         Support the coordination and delivery of projects and events that provide Members with valuable information, guidance and services, improving existing benefits and introducing new ones.

·         Under the supervision of the Head of Communications and Engagement, support communications activity including uploading content to the website and sharing on relevant social media channel(s).

·         Contribute to the membership-related aspects of quarterly Finance, Audit & Risk and Executive Committee meetings, including the necessary preparation.

Additional duties (5%)

As part of a small team in a fast-paced Armed Forces sector, you will occasionally support work outside your core responsibilities, independently or with colleagues. This may arise at short notice to support the business plan and strategic objectives or respond to unexpected events, issues and opportunities.

Experience and proven ability

Essential

·         Digital systems delivery: A track record of delivering integrated systems across business functions, such as CRM, websites and accounting software, to improve efficiency and the experience and value offered to Members or customers.

·         Project management: Experience of managing projects and regularly delivering multiple objectives and workstreams without close supervision.

·         Member and/or stakeholder support: Experience of delivering high-quality customer service to a broad range of stakeholders with different needs.

·         Process improvement: Strong experience of maintaining and improving administrative systems and processes to increase efficiency and reduce risk.

Desirable

·         Previous work for or with a membership, charitable, campaigning or policy organisation.

·         Experience of working in a small, ambitious team with changing individual and shared responsibilities.

·         Experience of supporting the delivery of meetings, events and training.

Working together

·         Communicate promptly with colleagues to coordinate workstreams and deliver high-quality work on time.

·         Follow agreed operating procedures and help improve internal processes, reducing the risks of reliance on a single person or process.

·         Prepare for, attend, and contribute to team meetings.

Skills and aptitude

·         Technical abilities: Technical competence and confidence to assess digital systems options and inform decisions about Cobseo’s systems (including website, CRM, accounting and the opportunities presented by AI).

·         Accuracy: Strong attention to detail.

·         Planning and initiative: A proactive approach, with the ability to plan and prioritise competing tasks across the organisation, sometimes to tight deadlines.

·         Problem-solving: Creative, practical thinking that supports continuous improvement.

·         Administration and IT: Strong office administration skills and confident use of Teams, Google Meet, Zoom, SharePoint, Word, Excel, Outlook and PowerPoint.

·         Communication: Clear, effective verbal and written communication, including digital channels. Ability to adapt your approach to colleagues, suppliers, Members and senior external stakeholders from all backgrounds, exercising sound judgement and discretion.

·         Collaboration: An approachable, confident manner and the ability to work in partnership, bringing together different contributions to achieve a shared aim.

·         Results: Motivation to achieve specific, measurable, achievable, relevant and time-bound (SMART) objectives that support the annual business plan and strategic objectives.

·         Teamwork: A collaborative approach and willingness to adapt to the needs of a small team.
